In Canda Study Visa

Around the world, more and more institutions are making their academic records accessible in digital or electronic form. In order to accept electronic papers from legitimate, reputable, and safe sources, World Education Services (WES) now collaborates with colleges.

A WES evaluation report provides access to academic records of students of prominent Canadian universities. The World Education Services (WES) Canada report compares your academic achievements with those of the Canadian standard. It is a prerequisite for Canada Express Entry Immigration Visa applicants (work visas).

But how can you go about this?

WES is North America’s trusted leader in credential evaluation services, and we’re going to explain how it works. This post is a guide on how to send transcripts to World Education Services (WES) Canada for verification.

These are the actions you must take:

You must first decide what kind of evaluation you require.

Given that WES evaluation provides these three reports, it is vital to identify the type of evaluation you require in order to save time:

  • Freshman Admissions
  • Graduate Admissions
  • Transfer Admissions

You can also find out if you can submit your certificates electronically by contacting your college or university.

Freshman Admission

It’s wise for first-year international students to get a document-by-document examination. By doing this, WES will individually describe each of your transcripts, including:

  • Title of the Qualification
  • Requisites for Admission
  • Program Duration

Each course receives an equivalent grade and US semester credit- a grade point average (GPA) of 4.0 in the United States.

In addition to your report, the WES evaluation will provide you with an electronic badge you can use on LinkedIn and other social media sites.

Graduate Admission

According to WES, it is better for graduates to receive a course-by-course evaluation. Your credential will be authenticated by WES and will show the:

  • The title of the certificate
  • The prerequisites for entry
  • The program’s duration
  • A record of all the post-secondary courses you’ve taken

Each course receives an equivalent grade and US semester credit- a grade point average (GPA) of 4.0 in the United States.

Transfer Admission

For students applying for transfer admission with a student visa, WES recommends assessing each course individually.

Your paperwork must be sent to WES for review by your academic institution. While the majority of colleges have their own websites, some rely on outside vendors. In either case, they can give you a list of the required records. The documents required depend on these factors:

  • Your Country of Origin
  • Your Level of Education (i.e., whether you have completed your studies or not)
  • Type of Education (such as secondary or post-secondary education)
  • The Type of Institution you Attended
  • The Type of Qualification (i.e., certificate, degree, diploma, and similar ones)

There are 3 ways you can send WES your transcripts:

  1. Online submission
  2. Direct submission
  3. Submission via email

The fastest method for WES transcript evaluation is through online submission.

Online Submission

More than 7,500 universities use the WES online system to send transcripts because of its reliability. For registration, you must log in and select WES as your recipient. Upon receiving the link allowing access to your documents, WES retrieves and evaluates them.

Direct Submission

Your institution can use one of these two options via a verified channel that is both effective and safe, albeit direct submission of your documents will take a bit longer than the online option:

  • Secure File Transfer Protocol (SFTP)
  • Application Programming Interface (API)

Submission via Email

Despite the fact that most universities prefer direct or online submissions over submissions by email, WES does offer the latter option because not all institutions are set up to use the former. Universities must adhere to the following while sending email transcript submissions:

Following are the guidelines for emailing documents:

  • The sender’s email must be accessible on the university website for WES to check.
  • To send academic records, the sender must be authorized. Typically, the Office of the Registrar, the Controller of Examinations, the Exams, Awards, and Graduation Department, the Department of Student Services, or the Office of Academic Records are in charge of sending documents.
  • Documents must be attached to universities in PDF or another unchangeable format.
  • Strict authenticity and security checks are required for emails to avoid spoofing.

What Things to Consider When Submitting Your Transcripts?

Verify the list of necessary documents before starting the process. Carefully adhere to the submission rules to avoid any delays. After submitting, write down your WES Reference Number for future reference.

Keep in mind that if you give your documents a PIN or an expiration date, WES might not be able to access them. Because WES only accepts contributions from authorized sources, keep your WES login information private and avoid sending transcripts from your personal email account.

Your Educational Credential Assessment (ECA) will be good for up to five years. You can use it to apply for both permanent residencies and to study in Canada.

Dos and Don’ts for Sending Electronic Documents to WES

DO’s

  • Do find out if your institution offers the option to send documents to WES online.
  • Read the proper procedures for sending your documents to WES by consulting our website and the website of your academic institution.
  • Send electronic papers with your WES Reference Number whenever possible. Your WES Reference Number should be entered in the notes or comments area on some online sites.
  • Write the WES Reference Number on all supplemental documents that you send with an academic transcript or degree certificate on other platforms.
  • Do send an email only to the designated email address for this purpose. Even if your documents are sent to WES, there will be delays if they are sent to the wrong email address.

DON’Ts

  • Do not give your documents a PIN or an expiration date. Access to your papers will be denied if you do this.
  • Do not give WES your personal login information.
  • Do not send transcripts or grade reports to WES electronically as attachments from your personal email address. Only electronic academic records from the approved list of screened sources are accepted by WES.
